How do I verify a subcontractor's insurance before they climb?

Verifying subcontractor insurance before allowing them on a tower requires a systematic process. Steps include: (1) Collect a current certificate of insurance (ACORD 25) showing GL, WC, auto, and umbrella with limits meeting your MSA requirements. (2) Verify the certificate is current by checking dates and confirming the issuing agent is legitimate. (3) Confirm no height exclusions exist by requesting the GL exclusion schedule or a letter from the carrier confirming no height limitation. The certificate alone does not reveal exclusions. (4) Verify your company is named as additional insured on the sub's GL. (5) Confirm workers compensation coverage is in effect and covers the state where work will be performed. (6) Check the sub's experience modification rate if your MSA requires a maximum EMR for all tiers. (7) Set calendar reminders for certificate expiration dates and require updated certificates before expiration. (8) For 1099 individuals, verify the WC or occupational accident policy covers them specifically (not a ghost policy with no employees listed). Many turf vendor MSAs require you to maintain subcontractor insurance files and produce them during audits. Create a compliance folder for each sub with certificate, W-9, signed subcontract, and safety documentation. Do not allow anyone on a tower without verified current insurance.
